A property inspection checklist — also called a move-in or move-out condition report — is a systematic record of the condition of a rental unit at the beginning and end of a tenancy. It is one of the most important documents a landlord or tenant can complete, as it provides objective evidence of the unit's condition and is used to resolve disputes over the return of a security deposit.

Why it matters

Without a signed move-in condition report, a landlord may have difficulty proving that damage was caused by the tenant rather than pre-existing. Without a move-out report, a tenant may have difficulty recovering their full deposit. In some provinces (British Columbia), completing a condition inspection report is mandatory.

What it covers

The checklist covers every room and area of the rental unit, including walls, floors, ceilings, windows, doors, fixtures, appliances, and outdoor spaces. Each item is rated as satisfactory, fair, or damaged, with space for notes and photographs. Both parties should sign and keep a copy.
